Energy and Utility Management
This category covers services that help properties track, bill and reduce utility use, including submetering, utility billing and cap programs, energy purchasing and efficiency upgrades such as lighting or controls.

Why this matters
Many student housing leases include utilities, often with caps, so energy and water use comes straight out of the property's budget. Residents who don't see a bill may leave lights, heat or air conditioning running, and good utility management helps you track usage, enforce caps fairly and spot problems like leaks early.
When you need it
- When utility costs are eating into the budget on all-inclusive leases.
- When setting or enforcing utility caps and you need a fair way to bill overages.
- After a surprise high bill points to a leak, vacant unit or equipment problem.
- When an energy supply contract or billing service agreement is coming up for renewal.
Common challenges in student housing
- Residents who don't see a bill have little reason to watch their usage.
- Splitting overages among roommates feels unfair if the method isn't clear.
- Parents and residents dispute charges they don't understand.
- Rules on billing residents for utilities differ by state and locality.
- Usage data sits in separate systems, so problems like leaks are found late.
What to look for
- Experience with all-inclusive rent and utility caps, and how they calculate and bill any overages to residents.
- Clear resident-facing statements that explain charges in plain language, since parents often see them too.
- Whether they offer submetering, and what equipment and installation that requires in your buildings.
- Usage reports by unit or building that help you spot leaks, vacant units with high use and other problems.
- Knowledge of the local and state rules on billing residents for utilities in your market.
- Who handles resident questions and disputes about charges, and how quickly they respond.
- Whether their data connects to your property management software, and what it costs.
How pricing usually works
- Billing services are often priced per unit or per bed per month, and some charge residents a service fee instead.
- Submetering usually involves equipment and installation costs, plus ongoing reading or data fees.
- Efficiency upgrades are typically priced per project, and some are paired with utility rebates or financing.
- Energy procurement may be built into the supply rate rather than billed as a separate fee, so ask how the provider is paid.
How prices are usually structured, not what they cost. Actual prices vary by market, property and scope, so compare written proposals.

- What usage reports do you provide, and how do they flag leaks or unusual use?
- How do you stay current on the utility billing rules in our state and locality?
- Who handles resident questions and disputes about charges, and how fast?
- How are you paid, and does your data connect to our property management software?
