HVAC Services

HVAC services cover installation, repair and preventive maintenance of heating, cooling and ventilation equipment, from individual unit systems to central plant equipment. In student housing that usually means a mix of planned maintenance and fast response to no-cool and no-heat calls.

Guide updated Oct 29, 2026. Written for operators, with input welcome from people who do this work.

Why this matters

Move-in often lands in late summer heat, and a building full of new residents with no cooling becomes a flood of work orders, complaints and reviews in the first week. Shared systems and many individual units also mean filters, drains and equipment need regular attention that is easy to fall behind on.

When you need it

  • Before move-in, to service units and change filters ahead of late summer heat.
  • When no-cool or no-heat work orders pile up faster than your team can handle them.
  • When aging equipment needs a repair-versus-replace decision for budgeting.
  • Before heating season in colder markets, to check systems before the first cold snap.

Common challenges in student housing

  • Move-in heat waves create a spike in calls right when every contractor is busy.
  • Filters and condensate drains get skipped in occupied units, leading to leaks and breakdowns.
  • Residents block returns, prop doors open or adjust settings in ways that strain equipment.
  • Parts and equipment lead times can leave units without cooling for longer than residents accept.
  • Mixed system types across older and newer buildings need technicians with different experience.

What to look for

  • Preventive maintenance before move-in: ask what a pre-turn inspection covers and whether they can service every unit in your window.
  • Response times you can hold them to, in writing, including after-hours and weekend calls during move-in.
  • Experience with the system types in your buildings, whether that is individual split systems, packaged units or central plant equipment.
  • Written pricing for service calls, preventive maintenance per unit and common repairs.
  • Parts availability and how long you would wait on common replacement parts or equipment.
  • Unit-by-unit service records with dates, findings and work done, so you can plan replacements and answer owner questions.
  • Current state licensing and a certificate of insurance that names your property, checked before the first visit.

How pricing usually works

  • Preventive maintenance is often a contract priced per unit, per system or per visit on a set schedule.
  • Repairs are usually billed as a service call fee plus labor and parts, with higher rates after hours.
  • Equipment replacement is quoted per system or as a project, often with removal and disposal listed separately.
  • Filters, refrigerant and drain treatments may be included in maintenance or billed as materials.

How prices are usually structured, not what they cost. Actual prices vary by market, property and scope, so compare written proposals.

Questions to ask a supplier

  1. What does your preventive maintenance visit include for each unit?
  2. How many units can you service before our move-in date?
  3. What response times will you commit to in writing for no-cool calls during move-in?
  4. Which system types in our buildings do your technicians work on regularly?
  5. How do you price after-hours and weekend calls?
  6. How long do common parts and replacement equipment take to arrive?
  7. Will you give us unit-level service records and a list of equipment nearing replacement?
