Mail and Package Management
This category covers how packages and mail get from carriers to residents, including smart lockers, staffed or shelved package rooms, mailboxes and the software that logs deliveries and notifies residents.
Guide updated Oct 29, 2026. Written for operators, with input welcome from people who do this work.
Why this matters
Package volume in student housing spikes in August and January, when residents order everything for their rooms at once, and it stays heavy all year. A package system that can't keep up buries your front desk, creates lost-package complaints and pulls staff away from leasing and resident service.
When you need it
- When the front desk or leasing office is buried in packages during the August or January rush.
- After a run of lost or misdelivered package complaints from residents or parents.
- When planning a renovation or new building and deciding how much space to give packages.
- When an existing locker contract or hardware warranty is coming up for renewal.
Common challenges in student housing
- Peak weeks overwhelm lockers or shelves, and the overflow ends up in the office.
- Large boxes, furniture deliveries and perishable items don't fit the system designed for standard parcels.
- Resident lists fall out of date at move-in and move-out, so notices go to the wrong people.
- Some carriers don't follow the property's drop-off process, which breaks the chain of custody.
- Residents leave packages uncollected for long stretches, filling space others need.
What to look for
- How the system handles peak weeks, and what happens when lockers or shelves are full.
- Support for oversized packages, perishable deliveries and the items that won't fit in a standard locker.
- How carriers drop off and how residents get notified, including whether notices reach residents' phones.
- A clear chain of custody with logs that show who delivered and who picked up each package.
- What the setup needs from your building, such as power, network access and floor space, before you commit.
- How residents are added and removed at move-in and move-out, and whether it connects to your property management software.
- Service response times in writing for hardware problems, especially during the August rush.
How pricing usually works
- Locker systems may be purchased outright or leased, with a recurring software or service fee.
- Some providers charge per unit or per door, and others charge per package or pass fees to residents.
- Installation, network and power work, and any building changes are often quoted separately.
- Contract length, hardware maintenance and expansion options vary, so read what renewal looks like.
How prices are usually structured, not what they cost. Actual prices vary by market, property and scope, so compare written proposals.

- What does the installation need from our building in power, network access and floor space?
- What are your response times for hardware problems, especially in August?
- Who pays the recurring fees, the property or the resident, and can that be changed later?
- What does the contract say about length, renewal and removing the equipment if we leave?
